About the Role


Green Envee is seeking a Business Systems and Automation Manager to oversee the systems, data, automations, AI tools, and technology projects that support our growing business.
This person will help ensure that information moves accurately and reliably between our key platforms, including CIN7 Core, Shopify, HubSpot, Notion, and other business systems. They will identify opportunities to improve workflows, reduce manual work, and use automation and AI to make the company more efficient.
This is not primarily a software development position. It is a hands-on business systems role for someone who can build solutions using platforms such as Make.com and Zapier, understand how data moves between systems, troubleshoot issues, and manage more complex work completed by developers or technical contractors.
This person will also help Green Envee use AI more effectively throughout the business. They should understand how to use tools such as Manus AI, Claude, ChatGPT, and comparable platforms to build AI agents, automate multistep processes, organize and analyze information, create reports, and reduce unnecessary human activity.
The Business Systems and Automation Manager will own the organization and prioritization of technology-related projects. They will work with team members to understand requests, translate business needs into clear project requirements, and ensure our technical resources remain focused on projects with the greatest potential to improve revenue, customer experience, operational efficiency, and data accuracy.
The ideal candidate combines technical ability with strong business judgment, organization, communication, and project management skills.

Core Responsibilities

  • Oversee the flow, accuracy, and reliability of data across CIN7 Core, Shopify, HubSpot, Notion, and other business platforms.
  • Understand how customers, companies, orders, products, inventory, locations, and other important records should be structured and mapped between systems.
  • Identify duplicate, incomplete, inconsistent, or inaccurate data and develop solutions to correct and prevent these issues.
  • Monitor integrations and automations, investigate failures, and coordinate timely resolutions.
  • Establish clear sources of truth, data definitions, system documentation, and data management standards.
  • Evaluate new software and integrations based on business value, compatibility, cost, scalability, security, and maintenance requirements.

Automation and AI agents

  • Build, maintain, test, and improve workflows using Make.com, Zapier, APIs, webhooks, and other automation tools.
  • Build and manage practical AI agents using platforms such as Manus AI, Claude, ChatGPT, and comparable AI tools.
  • Use AI agents to automate multistep business processes, conduct research, organize information, analyze data, create reports, monitor activity, and assist team members.
  • Connect AI tools with platforms such as Shopify, CIN7 Core, HubSpot, Notion, Slack, Make.com, and Zapier when appropriate.
  • Create clear prompts, instructions, workflows, knowledge sources, and guardrails that allow AI agents to produce consistent and reliable results.
  • Test and validate AI-generated work before using it in business processes.
  • Determine whether an AI agent, traditional automation, software integration, custom development, or human process is the best solution for a particular need.
  • Identify repetitive or unnecessary manual processes that can be automated, simplified, or eliminated.
  • Ensure automations and AI agents are documented, monitored, secure, and designed with appropriate error handling and human review.
  • Stay current on useful developments in AI, automation, ecommerce, and business technology and recommend opportunities with clear business applications.

Technology project and priority management

  • Own and organize the company’s technology and systems project backlog in Notion.
  • Gather requests from departments and convert loosely defined ideas into clear business requirements, deliverables, priorities, and acceptance criteria.
  • Evaluate proposed work based on revenue impact, business impact, urgency, effort, risk, and dependencies.
  • Recommend technology priorities to management and keep developers and technical contractors focused on the highest-leverage work.
  • Build and maintain project plans, assign next steps, track deadlines, identify blockers, and follow through until work is completed.
  • Test completed work, coordinate user acceptance, and confirm that solutions meet the original business need before rollout.
  • Provide management with concise and consistent updates on project status, business impact, risks, decisions, and next steps.
  • Maintain documentation so important systems, automations, and workflows are understandable and not dependent on one person.

Shopify and ecommerce improvement

  • Serve as a knowledgeable internal resource for Shopify across our direct-to-consumer and business-to-business ecommerce operations.
  • Identify, evaluate, and manage Shopify improvements that can increase sales, conversion, customer retention, average order value, and operational efficiency.
  • Translate ecommerce opportunities into clear requirements for developers, designers, agencies, and application partners.
  • Evaluate Shopify applications and integrations, including their cost, business value, performance impact, data access, and compatibility with existing systems.
  • Coordinate the testing and implementation of new ecommerce functionality and monitor results following launch.
  • Support reliable connections among Shopify, CIN7 Core, HubSpot, and related platforms.

Reporting and business intelligence

  • Organize data so management can access accurate, consistent, and useful reporting.
  • Partner with leadership and department owners to define important metrics and establish how those metrics should be calculated.
  • Build or coordinate dashboards and automated reports using appropriate reporting and business intelligence tools.
  • Use AI tools and agents to help produce, analyze, summarize, and distribute recurring reports.
  • Help evaluate future data and reporting platforms such as Snowflake, Power BI, Sigma, or comparable solutions.
  • Validate reports against source systems and investigate discrepancies before information is used for decision-making.

Qualifications

  • Experience with CIN7 Core, HubSpot, Shopify B2B, or a similar combination of ecommerce, inventory, CRM, and operational systems.
  • Experience with SQL, databases, data warehouses, or business intelligence platforms such as Snowflake, Power BI, Sigma, Tableau, or similar tools.
  • Experience coordinating developers, technical contractors, agencies, or outside software partners.
  • Experience working in a growing consumer products, beauty, professional skincare, wholesale, or omnichannel ecommerce company.
  • You are highly organized and naturally bring clarity to complicated systems, requests, and projects.
  • You are technically capable, curious, and comfortable learning how different platforms work together.
  • You think like a business owner and prioritize work based on impact, not simply on who submitted the request most recently.
  • You can distinguish an urgent business need from a distraction and are comfortable recommending what should happen now, later, or not at all.
  • You are genuinely interested in AI and have moved beyond using it only to write emails or generate basic content.
  • You understand how tools such as Manus AI, Claude, and ChatGPT can be used to create agents and complete meaningful business processes.
